Terms and Conditions

1. Exclusive Use and Occupancy

Waldeck Lodge is rented on an exclusive-use basis only. This means the entire lodge is reserved solely for your party, and no other guests will be present during your stay.

Maximum occupancy: 16 guests
Minimum stay: 2 nights, we recommend longer
The lodge is not available on a per-room basis

2. Pricing Policy

Children aged 0–5 stay free of charge
Children aged 6 and above count as full paying guests
Rates include VAT (if applicable) and all standard on-site activities
Premium or third-party services such as helicopter transfers, off-site excursions or overnight trips (e.g., Swakopmund or Etosha) are not included and will be quoted and invoiced separately. We are happy to assist with bookings.

3. Payment and Cancellation Terms

We’re a small, family run lodge with one simple rule: when you book, the whole property is yours. No other guests, no shared spaces, no surprises. Because we only ever host one booking at a time, we can’t fill empty beds the way a hotel does. That’s why our terms are a little firmer than you might be used to. We’ve kept everything below as clear and fair as we can.

Paying for your stay

25 % deposit to confirm your booking, non-refundable
The remaining 75% is due 60 days before you arrive.
Booking less than 60 days before arrival? Full payment is due straight away.

If you need to move your dates

Life happens, and we’ll always try to help.

One complimentary date change is possible, subject to availability.
Your new dates need to fall within 12 months of the original booking.
Just let us know in writing as early as you can.
Once dates have been changed, the reservation becomes non-refundable.

If you need to cancel completely

If you decide not to come at all, the following applies:

More than 90 days before arrival: 25% of the booking value is non-refundable.
Between 60 and 89 days before arrival: 50% is non-refundable.
Less than 60 days before arrival: the full booking value is non-refundable.

Travelling with a smaller or larger group

Travel plans change, and group sizes shift. Should fewer guests be travelling, we are happy to reduce the booking by one room only, provided we receive written notice at least 60 days prior to arrival. Any additional room reductions will be treated in line with the cancellation terms above.
Adding guests is always welcome, and we’ll simply include them in your final bill on arrival.

Festive Season & Easter

These periods are in high demand, and a 100% cancellation fee applies once a booking is confirmed:

Festive Season: 18 December to 6 January.
Easter: two weeks before Easter Sunday until one week after.

Date changes are still possible during these periods, subject to availability.

4. Check-in and Check-out

There are no fixed check-in or check-out times. We will coordinate all arrival and departure times individually with your group to ensure a seamless experience.

5. Smoking and Pets

Guests are kindly asked to not smoke indoors but smoking is permitted in outdoor areas. We urge guests to exercise extreme caution especially during the dry season as the risk of bushfires is very high.
Pets are not permitted at the lodge.

6. Travel Insurance and Liability

All guests are required to arrange their own travel and medical insurance prior to arrival.

Waldeck Lodge does not accept liability for any loss, injury, illness, or damage incurred during your stay.
We are committed to supporting our guests and will assist in coordinating medical care or other services if needed, but all costs and responsibilities lie with the guest.

7. Activities and Add-ons

All standard on-site activities (game drives, guided walks, bush meals, birdwatching, massages, etc.) are included in the nightly rate
Off-site or specialist activities (e.g., helicopter transfers, national park overnights, third-party excursions) are not included and must be arranged and paid for separately

8. Applicable Law and Jurisdiction

These Terms and Conditions shall be governed by and interpreted in accordance with the laws of the Republic of Namibia. Any disputes arising out of or in connection with these terms shall be subject to the exclusive jurisdiction of Namibian courts.
