Terms and Conditions
1. Exclusive Use and Occupancy
Waldeck Lodge is rented on an exclusive-use basis only. This means the entire lodge is reserved solely for your party, and no other guests will be present during your stay.
- Maximum occupancy: 16 guests
Minimum stay: 3 nights
- The lodge is not available on a per-room basis
2. Pricing Policy
- Base rate: €7,500 per night for up to 6 guests
- Additional guests: €1,250 per person per night (from 7th to 16th guest)
- Children aged 0–5 stay free of charge
- Children aged 6 and above count as full paying guests
- Rates include VAT (if applicable) and all standard on-site activities
- Premium or third-party services such as helicopter transfers, off-site excursions or overnight trips (e.g., Swakopmund or Etosha) are not included and will be quoted and invoiced separately. We are happy to assist with bookings.
3. Payment and Cancellation Terms
- A non-refundable deposit of 50% of the total booking amount is required to secure your reservation
- The remaining 50% is due 60 days prior to arrival
- For bookings made within 60 days of arrival, full payment is required at the time of booking
- Payments can be made via bank transfer
- All bank or transaction fees are the responsibility of the guest
- All payments are non-refundable
- However, we are happy to assist you in rescheduling your stay once (subject to availability). All changes must be requested in writing
4. Check-in and Check-out
There are no fixed check-in or check-out times. We will coordinate all arrival and departure times individually with your group to ensure a seamless experience.
5. Smoking and Pets
- Guests are kindly asked to not smoke indoors but smoking is permitted in outdoor areas. We urge guests to exercise extreme caution especially during the dry season as the risk of bushfires is very high.
- Pets are not permitted at the lodge.
6. Travel Insurance and Liability
All guests are required to arrange their own travel and medical insurance prior to arrival.
- Waldeck Lodge does not accept liability for any loss, injury, illness, or damage incurred during your stay.
- We are committed to supporting our guests and will assist in coordinating medical care or other services if needed, but all costs and responsibilities lie with the guest.
7. Activities and Add-ons
- All standard on-site activities (game drives, guided walks, bush meals, birdwatching, etc.) are included in the nightly rate
- Off-site or specialist activities (e.g., helicopter transfers, national park overnights, third-party excursions) are not included and must be arranged and paid for separately
8. Applicable Law and Jurisdiction
These Terms and Conditions shall be governed by and interpreted in accordance with the laws of the Republic of Namibia. Any disputes arising out of or in connection with these terms shall be subject to the exclusive jurisdiction of Namibian courts.
